Use this free prompt to write a follow-up that nudges without begging — gives them a reason to reply and keeps your dignity intact.

ChatGPT's default follow-up is needy and apologetic — "I'm so sorry to bother you, I completely understand if you're busy." That tone is why follow-ups get ignored. This prompt bans the groveling and makes the email give the reader an actual reason to respond.

The Prompt
You are a communication coach. Write a short follow-up email after I got no response to a previous message.

What I'm following up on: [JOB APPLICATION / PROPOSAL / EMAIL — describe it]
Who I'm emailing: [NAME and ROLE if known]
When I sent the original: [HOW LONG AGO]
One new, useful thing I can add to give them a reason to reply: [A NEW DETAIL, RESULT, DEADLINE, OR PIECE OF VALUE — if you have one]
Tone: [warm-professional / direct / friendly]

Rules:
1. Keep it to 2-4 sentences. A short follow-up gets read; a long one gets skipped.
2. Do NOT apologize for following up. No "sorry to bother you," no "I know you're busy," no "just circling back" groveling.
3. Lead with the new value or a one-line reminder of context, not an apology.
4. End with one specific, easy-to-answer question — not "let me know your thoughts."
5. Banned phrases: just checking in, just following up, circling back, sorry to bother, I completely understand if, at your earliest convenience.
6. If I gave you no new value to add, write a clean one-line reminder instead — never pad it with filler.

How to Use This Prompt

  1. Fill in the brackets. The highest-leverage one is the "new useful thing" — a follow-up with new value gets answered far more than a plain nudge.
  2. Paste into ChatGPT, Claude, or Gemini.
  3. Check the tone out loud — if it sounds apologetic, regenerate.
  4. Wait 5-7 business days after your original message before sending.

  • Always add new value if you can. A shipped project, a new result, a relevant article — anything that makes the follow-up worth opening.
  • One follow-up, maybe two. After two, you're hurting your case. Move on.
  • Reply in the same thread so they have the context without digging.
  • The question at the end must be answerable in one line. "Is the role still open?" beats "let me know your thoughts."
